Change Applicant Type - Internal vs External

Admin users can change completed and incomplete applicants from Internal to External and vice versa. Typically, the reason this would be necessary is if a) an EXTERNAL applicant is incorrectly invited to apply by a current employee on the INTERNAL website or b) a current employee inadvertently applies for an INTERNAL job on the EXTERNAL site. In both instances, the applicant has the opportunity to fill out the correct application type.

Changing the Application Type

From the applicant record, Admin users can click the Actions button and select Change to Internal (or External) App & Send Invite.

A new window will open with instructions confirming what you are changing on the applicant type. You are also prompted to include any special instructions, if desired.

Click the Change Type & Submit Invite button to initiate the process. Three entries will appear in the timeline, one to indicate the application type change, and the other to indicate that the application was returned to the applicant and the last will reflect that the email was sent with a link to that email.

The application will be moved to the Incomplete Apps tab until the applicant submits the application.

Applicant Process

The applicant will receive an email similar to the image shown below. The applicant will click the link and be prompted to log into the system to complete the correct application - either Internal or External.

Once the applicant submits the application, you will be able to view the corrected application and can process the applicant, as usual.

Common Questions

Who can change an applicant type?

Only Administrator users have access to this option and can change the applicant type. If you are not an Admin user, you will need to contact an Admin user in your organization to have them make changes to an applicant type.

Can applicants change their application type themselves?

Yes; an applicant who has NOT submitted an application (the application is incomplete) can change the application type. Click HERE for more information on this option.
